Brain Files ("we," "our," or "the app") is a personal productivity application that helps users capture, organize, and manage their thoughts, tasks, and appointments using AI-assisted categorization. 2. Information We Collect

Account Information

When you sign in, we collect your name and email address through OAuth authentication (Google or Microsoft). We do not store your password.

Thought and Task Data

We store the thoughts, tasks, appointments, and notes you create within the app. This data is associated with your account and stored securely in our database.

Google Calendar and Gmail Data

If you choose to connect your Google account, Brain Files requests access to the following Google API scopes:

  • https://www.googleapis.com/auth/calendar.events — to read your calendar events and display them in the unified calendar view, and to create new calendar events from your Brain Files appointments.
  • https://www.googleapis.com/auth/gmail.send — to send emails on your behalf when you use the email-sending feature within the app.

We store OAuth tokens (access token and refresh token) securely in our database to maintain your connection. We do not sell, share, or use your Google data for advertising or any purpose beyond the features described above.

Microsoft Calendar Data

If you connect your Microsoft account, Brain Files requests access to read your Outlook calendar events and display them in the unified calendar view. Microsoft OAuth tokens are stored securely and used solely for this purpose.

3. How We Use Your Information

We use your information exclusively to:

  • Provide the Brain Files service — capturing, categorizing, and organizing your thoughts
  • Display your Google Calendar and Outlook events in the unified calendar view
  • Create calendar events in your Google Calendar when you request it
  • Send emails on your behalf when you use the Gmail integration
  • Improve AI categorization accuracy for your personal use

We do not use your data for advertising, do not sell your data to third parties, and do not share your data with any third party except as required to operate the service (e.g., our database and storage providers).

4. Google API Limited Use Disclosure

Brain Files' use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We only use Google user data to provide or improve user-facing features visible within Brain Files.
  • We do not use Google user data to develop, improve, or train generalized AI or ML models.
  • We do not transfer Google user data to third parties except as necessary to provide the service.
  • We do not allow humans to read your Google data unless you explicitly request support and grant permission.

5. Data Storage and Security

Your data is stored in a secure, encrypted database. OAuth tokens are stored securely and are never exposed to other users. We use industry-standard security practices including HTTPS encryption for all data in transit.

We retain your data for as long as your account is active. You may request deletion of your account and all associated data at any time by contacting us at [email protected].

6. Revoking Access

You can disconnect Google Calendar or Microsoft at any time from the Brain Files Settings page. You can also revoke access directly from your Google account at myaccount.google.com/permissions or your Microsoft account security settings.

7. Children's Privacy

Brain Files is not directed at children under 13 years of age. We do not knowingly collect personal information from children under 13.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of significant changes by updating the "Last updated" date at the top of this page. Continued use of Brain Files after changes constitutes acceptance of the updated policy.
